How to Track Warranties and Plan Hardware Replacement: the Hardware Lifecycle Report

Watch Breeze RMM look up a workstation's Dell warranty, record its purchase date, raise warranty expiry alerts from one configuration policy, and generate a Hardware Lifecycle report the client can read: which machines to replace now, which are due soon, and a quarter-by-quarter replacement schedule. Then the same plan, live, in the customer portal.

What's in the demo

  • The warranty card on a device: ACME-WS-005 on Dell ProSupport, expiring in 41 days, with manufacturer, serial, dates and the entitlement table (source: Vendor API)
  • Device Settings: set the purchase date the lifecycle report plans around (vendor ship dates fill it in for Dell and Lenovo; a typed date wins)
  • The partner configuration policy's Warranty tab: alerts on, warn at 90 days, critical at 30
  • The alert queue: "Warranty expires in 41 days" (high) and "Warranty expired" (critical), each linked to its device
  • Reports, Templates, Hardware Lifecycle: replace workstations after 4 years and servers after 5, include hand-entered assets and other equipment, create
  • Generate now, download the PDF: status bar, replacement schedule by quarter, and the device table with age, purchase date, warranty and a replacement timeline
  • The customer portal's Hardware lifecycle tab: one click builds the same plan from live device records

Questions this video answers

How does Breeze RMM know a device's warranty end date?
Dell and Lenovo warranties are looked up from the vendor with your API credentials. Macs report AppleCare through the agent. Anything else can be imported with a CSV (Settings, Import from another RMM), including the warranty end date.
Can I get an alert before a warranty expires?
Yes. In a configuration policy's Warranty tab, enable warranty expiry alerts and set the warning and critical thresholds (90 and 30 days by default). Assign the policy partner-wide and every client inherits it.
What is the Hardware Lifecycle report?
A client-ready replacement plan: each computer's age, purchase date, warranty status and a replace-by date, grouped into replace now, due soon and on track, with a schedule by quarter. It is a report template under Reports, Templates, and it can be scheduled like any other report.
Can clients see the replacement plan themselves?
Yes. With the Hardware lifecycle flag on for the organization, the customer portal shows the plan under Devices and lets the client generate it on demand. Reports in the portal can also generate the PDF.
Does the report include prices or a budget?
No. It shows ages, warranties and replace-by dates only, so you can put your own pricing in the proposal that follows.

A note on the demo: the warranties, serial numbers, dates and the practice are fictional lab data. HP warranty lookups are not available yet.
