How to Build Proposals Clients Read: Cover Page, Pricing Tables, Agreements and E-Sign

Watch Breeze RMM build and send a complete managed IT proposal for a dental practice: a cover page with artwork, an executive summary, a findings table, pricing tables with product images, a 25 percent deposit, and a Master Services Agreement the client signs with the proposal. Then the client opens the link, reads it and signs. No separate quoting tool, no word processor.

What's in the demo

  • The finished proposal first: cover page (logo, title, prepared for and by), header with your company details and the client's billing address
  • Executive summary in rich text, an accent callout, an infographic image block, and a "what we found" table with zebra stripes
  • Two pricing tables: one-time onboarding and hardware ($6,346.04, with product thumbnails and SKUs) and monthly managed services, each with its own subtotal
  • Terms and conditions plus a Master Services Agreement at the end, filled in with the client's name and the monthly fee
  • The editor: outline, canvas, totals rail, and the seven section types (heading, rich text, image, pricing table, agreement, table, callout)
  • Cover page settings, including a contents list for the PDF
  • Show cost and margin: your cost and margin on every catalog line, never shown to the client
  • Adding Security Awareness Training from the product catalog and setting the quantity to 14 (monthly subtotal $1,056.00)
  • A 25 percent deposit ($1,586.51 due on acceptance), the footer line, and terms and conditions
  • The agreement block: a pinned published template, variables filled from the proposal, one manual value (initial term)
  • Send: addressed to the billing contact, subject, note, PDF attached, 30-second undo, then Send now
  • The client's view: cover, deposit strip, the agreement expanded, then typed signature and Accept and sign, landing on the deposit invoice
  • Back in Breeze: Converted, the Sent, Viewed, Accepted trail, the acceptance record, Download PDF and Clone

Questions this video answers

Can Breeze RMM make a proposal with a cover page and images, not just a price list?
Yes. A proposal is built from sections: headings, rich text, images, pricing tables, structured tables, callouts and agreement blocks. The cover page is a toggle in the editor with a title, prepared-for name, cover image, and a contents list for the PDF. Branding (logo and colours) comes from Settings, Partner, Branding.
Can the client sign a contract with the proposal?
Yes. Add an Agreement section and pick a template from Agreements in the sidebar. Breeze pins the published version, fills variables like the client name and monthly fee from the proposal, and the client's typed signature accepts the proposal, the terms and the agreement together. An executed copy is stored on acceptance.
Does the client see my cost and margin?
No. Cost and margin live on the editor's Show cost and margin toggle and never reach the customer document or the PDF.
Can I take a deposit on a proposal?
Yes. Set a percent of the amount due on acceptance, or flag specific one-time lines as deposit-eligible. When the client signs, Breeze issues the deposit invoice. With Stripe connected, the accept button becomes Sign and pay.
What happens after the client accepts?
The proposal reads Converted with its Sent, Viewed and Accepted trail and the signer's name, time and IP address. One-time lines become an issued invoice and monthly lines become a draft contract. See the Quote to Contract to Invoice video for that part.

A note on the demo: Stripe is not connected on the demo server, so the invoice page shows no pay button. The MSP, the dental practice, the people and every price are fictional.
