How to Set Up a Product Catalog, Labor Rates and Service Tiers

Breeze RMM lets an MSP set up what it sells once: a product catalog that shows cost and margin, labor rate cards with a per-client card, and deliverable templates that turn recurring promises into tickets. After that, quotes, contracts and ticket time price themselves.

What's in the demo

  • Billing → Product Catalog: Name, Type (Hardware, Software, Service), SKU, Unit price, Cost and Margin, e.g. Dell OptiPlex 7020 SFF Desktop at $898.99, cost $720.00, margin 19.9%
  • Add item: Hardware, One-time, "YubiKey 5 NFC security key", SKU YUBI-5NFC, price $80, cost basis $52, and Margin 35.0% before saving
  • The managed endpoint seat (MEP-SEAT-01): Service, Recurring, Monthly, $45.00 price, $18.00 cost, Margin 60.0%. Pax8 and TD SYNNEX price lists can be imported instead
  • Per-organization pricing on that seat: Harbor Point Dental at USD 40.00. Everyone else still pays the catalog price
  • Settings → Billing → Rates: "Standard rates" (Default, USD) bills $135.00/h, with columns for All other work, Remote and On-site
  • Add billing profile "Managed clients": round to 15 min, all other work $135.00/h, Remote Included, On-site $165.00/h with a 60 min minimum
  • Harbor Point Dental's settings → Billing → Billing profile: from "Standard rates (partner default)" to Managed clients, with the rates preview, then save ("Organization billing settings saved")
  • Billing → Deliverable Templates: set "Managed Gold" for all organizations, with "Quarterly business review" (Quarterly, opens 14 days before due, delivered when the linked ticket resolves, artifact required, internal instructions)
  • A second item, "Annual disaster recovery test" (Annually)
  • Harbor Point Dental → Service tab → Apply template set: Managed Gold, tied to their Dental Practice IT Care Plan contract, effective 10/22/2026. Both deliverables land On track, next due 1/21/2027 and 10/21/2027

Questions this video answers

How do I build a product catalog in Breeze RMM?
Go to Billing → Product Catalog → Add item. Pick hardware, software or service, one-time or recurring (monthly or annual), then add a name, SKU, a price per currency and your cost basis. The margin shows before you save. Items feed quotes, contracts and invoices. Pax8 and TD SYNNEX imports appear once connected under Integrations → Distributors.
Can I charge one client a different price for the same item?
Yes. Open the item, scroll to Per-organization pricing, pick the client, currency and price, and Set. When you quote, contract or invoice that client in that currency, Breeze uses their price. Everyone else is billed the catalog price.
How do labor rates work in Breeze RMM?
Under Settings → Billing → Rates, each billing profile is a rate card: a rate for all other work, plus a billable rate or "Included" per work type, optional rounding (time rounds up) and a minimum. The default card covers every client without its own. To give a client a card, open its settings → Billing → Billing profile. New time entries use it, and older entries keep the rate they were logged at.
What are deliverable templates?
Billing → Deliverable Templates holds a service tier you define once, such as a quarterly business review and an annual DR test, for all organizations or one. Each deliverable opens a ticket a set number of days before it's due. By default it counts as delivered once that ticket resolves and evidence is attached. Apply a set from the client's Service tab, optionally tied to a contract.
Is the margin in Breeze a markup?
No. Margin is the share of the price you keep: (price - cost) / price. An $80 item that costs you $52 has a 35.0% margin. The markup on cost would be about 54%.

A note on the demo: all clients, contracts and prices are fictional demo data. Nothing is imported from Pax8 or TD SYNNEX on camera.
