How to Track, Cap and Bill Back AI Costs per Client
Breeze RMM shows what its AI assistant costs for each client, technician and feature, caps a client with monthly and daily budgets, and bills the usage back on the client's invoice with your markup. You can also plug in your own Anthropic API key.

What's in the demo
- Settings → AI Usage for Acme Manufacturing: Today's Cost $7.94, Monthly Cost $124.85, Tokens This Month 181.3M, and an Effective budget panel where every limit reads Default
- All organizations, grouped by Organization: Acme Manufacturing $124.85 (1,023 calls), Lakeshore Legal $45.27, Northfield CPA Group $21.84 and three more, $223.79 in total, with From/To dates for a longer range
- Grouped by Technician (Elena Brooks $119.09, Tyler Nguyen $97.12) and by Feature (Chat $210.70, Script builder $13.09), with a Refusals column
- Acme's organization settings → AI tab: Monthly Budget 300.00, Daily Budget 25.00, warnings left on the default 50, 80, 95 %, Save Budget
- Back on AI Usage: Monthly Cost reads "of $300.00 limit", Today's Cost "of $25.00 limit", and both budgets say "Set by organization"
- Settings → Billing → Rates: the Standard rates profile's AI usage set to Billable with a 25 % markup on cost (a per-model price list is the other option); the cell reads "Billable · cost +25%"
- Billing → Invoices → Assemble from work for Lakeshore Legal, last month: the draft carries one AI usage line for Claude Sonnet 5.5, 2026-09, 400 requests, 74446820 tokens, $62.15
- Settings → Partner → AI Providers & Models: Connections shows the Breeze platform billed to Breeze credits, then Add connection → Anthropic API key, "Summit Anthropic", cancelled
Questions this video answers
- Where do I see AI costs per client in Breeze RMM?
- Settings → AI Usage. Pick All organizations in the org switcher and group the usage table by Organization. Technician, Feature and Model groupings sit beside it, and the From/To dates change the range.
- Can I cap AI spend for one client?
- Yes. Open the organization's settings, go to the AI tab, and set a monthly and/or daily budget. Breeze alerts partner admins with billing access at 50, 80 and 95 % by default, and once a cap is reached it refuses new AI requests for that client until the day or month rolls over (UTC).
- How do I bill AI usage back to clients?
- On the billing profile (Settings → Billing → Rates), set AI usage to Billable with a markup on Breeze's cost or a per-model price list. Each request is priced when it runs, so later changes never reprice old usage. Early on the 1st, last month's billable usage becomes one charge per model, and Assemble from work puts it on the invoice. Issuing the invoice marks those charges billed.
- Can I use my own Anthropic API key with Breeze RMM?
- Yes. Settings → Partner → AI Providers & Models → Add connection → Anthropic API key. Breeze checks the key with Anthropic before saving it. Your first key takes over the features that ran on the Breeze platform, and those calls bill to your own Anthropic account instead of Breeze credits.
A note on the demo: no AI was called during recording, and the usage history is fictional demo data. With All organizations selected, the cards at the top read $0.00; the per-client totals are in the table below them. The "80% monthly alert sent 10/21/2026" line under Acme's cards comes from earlier lab activity, not from the $124.85 shown. The API key typed in is a placeholder and was never saved.
